Volunteer Roles

Our team relies on parent volunteers to make the magic happen, especially at meets. We know that the jobs are entirely new for some families, and therefore, we’ve put together this handy guide to the different roles at meets. Each family is required to volunteer a minimum of 4 times throughout the season (with many families choosing to volunteer more) to ensure we have enough folks to make the meets run.

⭐First-time volunteer? Consider signing up for Concessions, Kid Pusher, Timer, Runner, Ribbon Delivery, Set Up, or Clean Up. These positions require little or no prior swim-meet experience, and experienced volunteers will be available to help answer questions.

Job Description
Announcer Use the pool’s PA system to keep the meet moving by announcing events, calling swimmers to the Clerk of Course, sharing results, and making general meet announcements. No swimming knowledge is required—just a clear speaking voice and willingness to follow the meet script.
Clerk of Course Organize swimmers before their races and help line them up in the correct heat and lane. This job works closely with the Kid Pushers and is a great way to help keep the meet running on schedule.
⭐Concessions Sell food, drinks, and snacks from the concession stand during the meet. This is an easy, social volunteer position that helps raise funds for the team.
Floater/Sub Be available to fill in wherever help is needed during the meet, whether covering a volunteer’s break or stepping into an unexpected opening. Flexibility and a willingness to help are the main requirements.
⭐Kid Pusher Help younger swimmers stay aware of when their events are approaching and escort them to the Clerk of Course area on time. This is a fun job for parents who enjoy working with kids and helping them feel comfortable at meets.
Meet Administrator Enter race results into Meet Maestro and assist with ensuring meet data is recorded accurately. This role is typically best for someone comfortable using a laptop and paying attention to details.
⭐Post-Meet Clean Up Help return the pool deck and surrounding areas to normal after the meet. Tasks may include putting away equipment, collecting trash, and helping leave the facility cleaner than we found it.
⭐Pre-Meet Set Up Arrive early to help prepare the pool deck and meet areas before swimmers arrive. Tasks may include setting up tables, tents, chairs, timing equipment, and other meet supplies.
⭐Ribbon Delivery on Deck Hand out participation and heat-winner ribbons to swimmers after their races. This is a great role for volunteers who enjoy interacting with the athletes and celebrating their accomplishments.
Ribbon Writer Prepare ribbons by writing swimmers’ names, places, or event information as needed and organize ribbons for distribution. Attention to detail and legible handwriting are helpful for this position.
⭐Runner (Form Deliverer) Walk around the pool deck collecting paperwork from meet officials and delivering it to the Meet Administrator table. This role helps ensure race results and other meet information are processed quickly and accurately.
Starter Operate the starting system and start each race according to league procedures. This position requires league-approved training and is ideal for volunteers who are comfortable taking charge and maintaining consistency.
Stroke & Turn Judge Observe swimmers during designated events to ensure strokes, turns, and finishes comply with league rules. Required training is provided by the league, and the role helps ensure fair competition for all swimmers.
⭐Timer Use a stopwatch and/or electronic timing device to record swimmers’ times in an assigned lane. This is one of the most important meet jobs and is often recommended for new volunteer families because it is easy to learn.
Head Timer Assist lane timers, provide backup timing when needed, and help resolve timing issues during races. This role is typically filled by an experienced timer who understands meet timing procedures.
TSA Representative Serve as the team’s official league representative on deck and work with the opposing team’s representative to address rules questions or meet-related issues. This role requires familiarity with TSA rules and may not be combined with another deck position during the meet.
